Printable invoice template
An invoice designed to look clean when printed on A4 or US Letter, with all the required fields, totals that add up for you, and no sign-up or account needed. Fill it in online and print directly from the browser or save as PDF.
No sign-up. Editable Word (.docx) or print to PDF. Your answers stay in your browser. Updated .
A printable invoice needs to work on paper as well as on screen: no background that wastes ink, no cut-off columns, enough room for line items, and a clear total and how-to-pay box. This template prints cleanly to a single page for typical 3–8 line invoices.
Fill it in online to get totals, tax, discount and any balance calculated automatically, then use your browser's print dialog to print on paper or save as PDF. Your business details are saved in your browser for the next invoice; nothing is uploaded.
What to include#
- Clean print layout. White background, borders that print, sensible margins for A4 and US Letter, and all sections within the printable area.
- All required fields. Invoice number, dates, your details, client details, line items with quantity/rate/amount, subtotal, tax, total and payment terms.
- Totals calculate automatically. When filled in online, line amounts, subtotal, one tax rate, discount and balance due all add up as you type.
- Logo optional. Upload a logo before you print and it appears in the header — entirely optional, it prints fine without one.
- PDF via your browser. No separate download step: choose "Print" and "Save as PDF" to get a print-ready PDF to email.

Questions
Do I have to fill it in online?
You can print the blank PDF and write it by hand, but totals will not calculate automatically — you'll need to add up line items yourself.
Will it print on one page?
Typical 3–8 line invoices fit a single page on A4 or US Letter with default settings. Many line items will flow to a second page naturally.
Can I save as PDF on any device?
Yes. Every modern browser and phone offers "Save as PDF" or "Print to PDF" in its print dialog.
Do I need special paper?
No — print on plain white A4 or US Letter paper. A header logo is optional; the invoice is valid without one.
Are printed invoices legal?
Yes. A printed invoice is a valid commercial document in every country that accepts paper records, which is all of them.
