A payment receipt proves someone paid you. Issue one every time you receive payment (especially for cash or in-person transactions) and give a copy to the payer; keep one for your records.

Receipts are important for customer confidence, tax records, and resolving disputes about whether something was paid. They are simpler and more general than a rent receipt or invoice — they confirm payment, not the underlying obligation.

What to include#

  • Payer and recipient. Your name/business and contact; payer name; date and receipt number.
  • Payment details. Amount paid (in numbers and words), payment method (cash, cheque, card, transfer, crypto), and cheque/transaction ID.
  • What it was for. Description of what the payment covers (invoice #, service, goods, deposit, rent period), and any remaining balance.
  • Paid in full / partial. Whether the payment settles the full amount or is a partial payment (and the outstanding balance).
  • Signature. Recipient signature/initials and date; business stamp if used.

How to fill it in#

  1. Step 1: Issue at time of payment

Give the receipt when you receive the funds — do not backdate.

  2. Step 2: Use a sequential number

Number receipts for accounting and lookup.

  3. Step 3: State the payee and purpose

Who paid and what for (invoice number, goods, deposit) prevents confusion later.

  4. Step 4: Note partial payments

If paying in instalments, show the total, amount paid and remaining balance.

  5. Step 5: Keep a copy

Paper: use a duplicate/receipt book; digital: save a PDF or printed copy for your records.

Questions

Is a receipt required by law?

In many places you must give a receipt for cash payments on request; it is best practice for all payments.

Email or paper?

Either works as long as it shows the required details; digital receipts are easier to track.

Do receipts need tax?

If you are collecting sales tax/VAT, show the tax component; if it is a private sale, a plain receipt is fine.

Is a bank transfer confirmation enough?

It shows funds moved but not what they were for — issue a proper receipt referencing the invoice/purpose.

Do I need one for every small payment?

For any cash payment yes; for card/online, the system receipt plus an invoice is usually enough.
