A rent receipt is a simple record proving the tenant paid rent. It is especially important for cash payments (some states require it by law) and for tenants building a rental history or claiming housing benefits.
Keep a copy for your records and give one to the tenant immediately on payment. Receipts help resolve disputes about whether and when rent was paid.
What to include#
- Tenant and property. Tenant name, property address and unit number.
- Payment details. Amount paid, date received, payment method (cash, cheque, transfer, money order) and cheque/transaction number.
- Rent period. The month and year the payment covers (e.g. November 2026).
- Balance. Any remaining balance due or late fee outstanding.
- Signature. Landlord/manager signature, printed name and date issued.

Issue the receipt when you receive payment — do not backdate.

Questions
Do I have to give a rent receipt?
Several US states require a receipt for cash payments; always give one if asked. Best practice is a receipt for every payment.
Is an email confirmation enough?
An email can act as a receipt but a signed PDF/printed document is stronger evidence in court.
Can a receipt be handwritten?
Yes — as long as it has the date, amount, period, property and signature it is valid.
Should I issue one per tenant?
Issue one per unit/payment; all tenants on the lease can request a copy.
What if I use a property manager?
The manager issues receipts in their name as your agent; they count as receipts from you.
