EVENT PLANNING AGREEMENT

This Event Planning Agreement is made on [Effective date] between [Planner name] (the "Planner") and [Client name] (the "Client").

1. The event

The Planner will help plan [Event type] on [Event date] at [Venue name] for about [Guest count] guests.

2. Services

The Planner will provide the following services:

On the day, the Planner will coordinate vendors and the schedule for up to [Coordination hours] hours.

3. Fees

The Planner's fee is [Fee percentage]% of the total event budget, currently estimated at [Event budget].The Planner's fee is [Planning fee]. A retainer of [Retainer amount] is due on signing and is not refundable. The balance is due [Balance due days] days before the event.

4. Vendors and budget

The Client contracts with and pays vendors directly. The Planner will recommend vendors in good faith but is not responsible for their performance, and will not commit the Client to any cost without the Client's approval.

The Planner will tell the Client about any commission or referral fee it receives from a vendor.

5. Cancellation and postponement

If the Client cancels, the retainer is kept; if the Client cancels within [Cancellation days] days of the event, the full fee is due. If the event is postponed to a date within [Reschedule months] months, payments made are credited to the new date.

6. Events beyond control

Neither party is responsible for failure to perform caused by events beyond its reasonable control, such as severe weather, venue closure or government restrictions. In that case the parties will try to agree a new date, and payments made will be credited to it.

7. Governing law

This Agreement is governed by the laws of [Governing law].

Questions

Should I charge a flat fee or a percentage?

A percentage of the budget scales with bigger events; a flat fee is easier for clients to understand. The template supports both.

What if the venue closes or the event is postponed?

The template credits payments to a new date within a period you set, and neither party is liable for events beyond its reasonable control.

Is it really free?
